Cancellation & Refund Policy

The Creative Side of London

The Creative Side of London is an independent small business. Significant time, administration, venue deposits, marketing costs and promotional expenses are incurred in advance of each event. For this reason, the following cancellation policy applies to all confirmed stall bookings.

By submitting payment for a stall, you confirm that you have read, understood and agreed to the terms below.

1. Trader Cancellation

If your application is successful but you are subsequently unable to attend, the following refund structure will apply:

More than 30 days before the event:
A refund will be issued minus a £20 administration fee.

14–30 days before the event:
50% of the stall fee will be refunded.

Less than 14 days before the event:
No refund will be provided, regardless of the circumstances.

All cancellation requests must be made in writing via email.

2. Stall Confirmation

Stalls are confirmed only once full payment has been received.
We are unable to hold spaces without payment.

3. Event Cancellation by The Creative Side of London

In the unlikely event that The Creative Side of London cancels a market due to circumstances beyond our reasonable control (including but not limited to venue issues, severe weather, government restrictions or other force majeure events), traders will receive a refund of their stall fee minus £25 per trader.

The £25 deduction covers administrative, marketing and promotional costs already incurred.

4. Limitation of Liability

The Creative Side of London shall not be liable for any additional costs or losses incurred by traders as a result of cancellation. This includes, but is not limited to:

• Travel expenses
• Accommodation costs
• Stock production
• Staffing costs
• Loss of earnings

Traders participate at their own discretion and risk.

Vendor Terms & Conditions

The Creative Side of London

These Terms & Conditions apply to all traders participating in markets and pop-up events organised by The Creative Side of London.

By submitting an application and making payment, you confirm that you have read, understood and agreed to the terms outlined below.

1. Applications & Stall Allocation

• All traders must complete the official application form.
• Successful applicants will be notified by email.
• Due to the volume of applications, we are unable to contact unsuccessful applicants.
• Trading at one event does not guarantee selection for future events.
• Stall allocation and placement are determined by the organisers to ensure a balanced and varied market.
• There is no “good” or “bad” spot. All placement decisions are final.

2. Stall Fees & Confirmation

• Stall fees are £70 per day unless otherwise stated.
• Full payment must be made in advance via bank transfer.
• Stalls are confirmed only once payment has been received.
• We are unable to hold spaces without payment.

For winter indoor events, a 6ft table and one chair will be provided unless otherwise stated

Outdoor stalls:
• Outdoor stalls are available at Cornerstone Church markets £50
• Electricity is not provided for outdoor traders.
• Traders are responsible for bringing their own tables, tents, and coverings for outdoor use.

3. Cancellation & Refund Policy

The Creative Side of London is an independent small business. Significant venue, administration and marketing costs are incurred prior to each event.

If a trader cancels:

• More than 30 days before the event – refund minus £20 administration fee
• 14–30 days before the event – 50% refund
• Less than 14 days before the event – no refund

4. Insurance & Compliance

• All traders must hold valid Public Liability or Product Liability Insurance.
• Traders must adhere to all venue rules and local regulations.
• Food traders must display prices clearly and ensure food is covered at all times.

Proof of insurance may be requested.

5. Conduct & Professionalism

All traders must:

• Act professionally and respectfully towards organisers, venues and fellow traders.
• Arrive and leave at the designated times.
• Not pack down early without prior agreement.
• Keep their stall presentable at all times.
• Leave the venue clean and tidy.

Misconduct or abusive behaviour will not be tolerated and may result in removal from the event and exclusion from future events.

6. Stall Setup & Space Use

• Traders must not extend beyond their allocated pitch.
• Any additional items such as rails must be declared in advance.
• Oversized rails may result in no table being provided due to space restrictions.
• Subletting or sharing stalls without prior written approval is not permitted.
• Traders may only sell items approved in their application. Unapproved products may be removed.

Only two people are permitted per stall unless agreed otherwise.

7. Electricity

• Electricity cannot be provided to outdoor traders.
• Indoor socket access is limited and not guaranteed.

Traders should plan accordingly.

8. Payments

All traders should be equipped to accept card payments where possible.

9. Photography & Promotion

• Events may be photographed for promotional purposes.
• Traders who do not wish to be photographed must notify organisers in advance.
• Traders are expected to promote the event on their own social media platforms.

10. Communication

All official communication will be via the email or phone number provided by the organisers. Social media messages may not be monitored on event days.

11. Parking & Liability

Drop-off points may be available depending on the venue. Parking is not guaranteed and is the responsibility of the trader.

The Creative Side of London and event venues are not responsible for:

• Parking arrangements
• Loss or damage to stock
• Personal belongings

Traders attend and trade at their own risk.

12. Weather Conditions

For indoor events, doors may remain open for customer access. Traders are advised to dress appropriately during colder months.

13. Final Agreement

By submitting payment for a stall, traders agree to all Vendor Terms & Conditions outlined above.

14. Intellectual Property & Branding

The name The Creative Side of London, its logo, branding, promotional materials, website content, graphics, event concepts and marketing materials are the intellectual property of The Creative Side of London and may not be copied, reproduced, distributed or used without prior written permission.

Participation in one of our events does not grant traders any ownership rights to our brand, event name, logos or promotional materials.

Traders may use the official event graphics provided by The Creative Side of London strictly for the purpose of promoting their participation in the specific event.

Event photographs taken by The Creative Side of London remain the property of the organiser and may be used for promotional, marketing and portfolio purposes across social media, website and printed materials.

Traders must not use The Creative Side of London branding in a way that implies partnership, endorsement or future collaboration without written consent.

Media & Photography Policy

The Creative Side of London

The Creative Side of London may photograph and film its markets, pop-ups and related events for promotional and marketing purposes.

This may include images or video footage of:

• Traders and their stalls
• Event attendees
• General crowd scenes
• Venue interiors
• Products on display

By attending or participating in an event organised by The Creative Side of London, you acknowledge and consent to photography and filming which may be used for:

• Social media content
• Website content
• Email marketing
• Press and promotional materials
• Future event advertising

All images and video content remain the property of The Creative Side of London.

If you do not wish to appear in photography or filmed content, you must notify the organisers in advance or inform a member of the team on the day of the event. We will make reasonable efforts to accommodate such requests.

The Creative Side of London will not use images in a misleading or inappropriate manner.
